7 Things Every Tournament Host Must Know Before Signing A Contract

Before you sign a venue contract for your youth sports tournament, make sure you have the right coverage in place. Here is what every tournament host needs to know.

Let’s set the scene.

You have spent weeks organizing a youth basketball tournament. You have the gym reserved, the teams confirmed, and the bracket ready to go. Then the venue sends over the contract, and there it is: a line requiring proof of liability insurance before they will hand over the keys.

Now what?

1. Tournament host insurance covers you, not the teams

This is the most important thing to understand up front. Tournament host insurance protects the organizer. If a participant is injured, if property is damaged, or if a claim is filed against the tournament, your policy is what responds.

This is separate from a league policy that might cover individual teams who are attending your event. As the host, you carry your own responsibility, and you need your own coverage.

2. Know your exact dates before you apply

Tournament policies are structured around consecutive days, typically one to four. Before you apply, have your dates locked in. A one-day tournament and a three-day tournament carry different rates, and non-sequential dates do not qualify under a tournament policy.

6. Excess accident medical coverage protects your young athletes

General liability protects you as the host. Excess accident medical coverage protects the participants. When a young athlete is injured and their personal health insurance does not cover the full cost of care, this coverage steps in to fill the gap. If a participant has no health insurance at all, this coverage becomes the primary.

The typical deductible is $250. For youth sports tournaments where kids are competing hard and contact is part of the game, this coverage is a responsible part of any solid policy.

7. One size does not fit all. Talk through your options

Depending on your event, there may be additional coverages worth considering. Sexual abuse and molestation coverage is an important protection for any organization working with youth participants. Equipment coverage helps if you are responsible for valuable gear. Crime insurance protects against theft by staff or volunteers. Hired and non-owned auto liability applies if volunteers are transporting equipment or participants.
